Contingent Management Team
ROLE RESPONSIBILITIES
The Head of Finance is responsible for managing the financial strategy for the Contingent. This involves ensuring the financial health of the event through bottom-up budgeting and regular budget reviews. The role also includes overseeing financial processes, ensuring clear financial delegations, and tracking the budget to ensure value is delivered to Contingent members while preparing for potential contingencies.
This role comes with a number of responsibilities including the ones listed below. Due to the unpredictable nature of the event, there will be times you are asked to take on additional responsibilities and that is an expectation of this role.
At all times this position will demonstrate behaviours in accordance with Scouts Australia purpose, principles and Association values. and will adhere to the Adult Code of Ethics and Code of Conduct.
As Head of Finance you will:
Develop a budget template which allows each Team to effectively build a Bottom-up budget meaning cost of the event is derived from the anticipated costs of the event, not set from the outset.
Create a team which considers both the reporting and processing elements of financial management.
Request recut budgets from each Team after each key milestone in the planning phases are achieved. This includes closing of registrations.
Ensure financial delegations are clearly documented with credit cards distributed to relevant CMT members.
Ensure that Contingent members are getting value from the event by maintaining a focus on budget tracking.
Build a strong team to support and complete the tasks required.
Regularly attend the ‘Core Team’ Meetings with the relevant members of your team.
Complete any other tasks reasonably required of you by the Head of your department or the Contingent Team

Running the Contingent for the World Scout Jamboree requires confident and capable people who are willing and able to take on the large task in front of them.

Be a current member of Scouts Australia and maintain this membership throughout your tenure.
Hold and maintain a valid Working with Children/Vulnerable Persons Check and National Police Check, agreeing to any further checks as required throughout the tenure of the role.
Complete and maintain all mandatory training requirements, renewing them as necessary.
Uphold the team charter, as well as Scouts Australia’s Adult Code of Ethics and Code of Conduct.
Desirable additional qualities:
Sound knowledge and understanding of the Scouts Australia program.
Have excellent IT skills, including the ability to use the Microsoft Office 365 package, online registration systems, and complex spreadsheets.
Have strong financial planning and/or accounting background
Strong communication skills to liaise effectively with multiple stakeholders.
Familiarity with budgeting processes.
You will be required to commit a significant amount of time for this role. Anticipate approximately 5 -10+ hours per week. Applicants should ensure they have the flexibility in their time to be able to accommodate this significant contribution considering their work and study requirements. They should be available during the lead up to and the full duration of the event including the HOC Meetings, pre and post tours. This role is a volunteer position and you will be required to undergo a probationary period of 6 months to assess suitability to the position.
