Role Type: This is a Pre-Event CMT Role, with the option to attend the Jamboree as a Unit Leader or IST Member.

Time Commitment: Approximately 2 hours per week during the planning phase, increasing closer to the camps
Role Objective
The Australian Contingent to Poland 2027 is seeking dedicated and enthusiastic team members to help deliver an unforgettable experience for Australian Scouts at the 26th World Scout Jamboree in Gdańsk, Poland.
The Contingent will be hosting a series of Meet Camps across Australia as an opportunity for participants to connect, prepare for the Jamboree, and address any challenges before travelling to Poland.
As Meet Camp Manager, you will be responsible for delivering these pre-event camps in your designated region (NSW/ACT, VIC/TAS, QLD/NT, WA/SA). You will work closely with the Program and Logistics teams to ensure the successful planning and execution of these camps, aligning them with the broader Contingent objectives. These camps will provide an opportunity for participants to bond within their units, understand the challenges they may encounter at the Jamboree, and help prepare International Service Team (IST) applicants for their roles.
This role ensures the program includes a balanced mix of adventurous activities, cultural experiences, and downtime while being flexible to accommodate participants with special considerations. You will also play a role in budgeting for the Meet Camps.
Key Responsibilities
Oversee the planning and delivery of all pre-event Meet Camps across Australia
Select venues that meet the needs of participants and the program
Collaborate with the Logistics Team to organise catering and other support services
Work with the Program Team to develop and schedule camp activities that foster unit bonding, build resilience, and address potential challenges
Ensure the program includes a balanced mix of adventurous activities, cultural experiences, and downtime and that adjustments can be made for participants with special considerations
Ensure Achievement Pathways are considered in program development
Support the Administration Team in collecting necessary details from participants
Develop and submit a budget for approval, working closely with the Finance Team
Complete risk assessments for all activities and ensure safety standards are met
Organise a works and services team, including IST applicants, to support camp logistics
Act as the main point of contact for pre-event camp organisation and execution
Regularly attend CMT meetings and provide updates on camp planning progress
Attend and host Meet Camp preparation meetings
Present to the wider CMT on the Meet Camps
Work with IST applicants to prepare them for their roles at the Jamboree
Seek out opportunities to minimise costs without jeopardising participant experience
Ensure all participants have appropriate application forms and medical/dietary information completed and that the Health and Wellbeing Team is aware of any particular issues or concerns
Complete any other tasks reasonably required by the Head of Program or Head of Logistics

Who We’re Looking For
We’re seeking someone who:
Is passionate about creating safe, memorable, and transformative experiences for young people
Has prior experience in managing camps or events for large groups
Can manage finer details while maintaining focus on the bigger picture
Works well in a team environment and collaborates effectively with others
Can adjust plans as needed and find solutions to challenges
Can manage competing priorities and meet deadlines
Is a current member of Scouts Australia and will maintain this membership throughout their tenure
Is prepared to gain a sound understanding of Safe from Harm in accordance with Scouts Australia’s Child Safety Policy, including principles, standards, and procedures
Holds a current Working with Children/Vulnerable Persons Check in their Branch and agrees to maintain this check throughout their tenure
Has completed a National Police Check and agrees to any further checks as required
Will complete and pass all mandatory training, with a commitment to renew every two years
Agrees to uphold the team charter and adhere to Scouts Australia’s Adult Code of Ethics and Code of Conduct
Desirable Skills and Experience
Strong communication skills to liaise effectively with multiple stakeholders
Familiarity with budgeting processes
Experience in organising culturally inclusive programs
Ability to lead and mentor a group of IST applicants in their roles
Time Commitment
This role requires a commitment of approximately 2 hours per week during the planning phase, increasing closer to the camps.
You will be required to attend your designated pre-event camp, with transport and accommodation provided.
This is a volunteer position, with a six-month probationary period to assess suitability.
