Time Commitment: Approximately 4 hours per week during the planning phase, increasing closer to the event
Role Objective
The Australian Contingent to Poland 2027 is seeking dedicated and enthusiastic team members to help deliver an unforgettable experience for Australian Scouts at the 26th World Scout Jamboree in Gdańsk, Poland.
The Transport Manager is responsible for coordinating all transport requirements for the Contingent. This includes managing international flights, ground transport and logistics, and ensuring accurate and timely communication through individualised itineraries.
The role also contributes to the broader logistics planning and will serve as Deputy Head of Logistics. You will work closely with internal teams to mitigate risk, manage costs, and deliver a comprehensive master plan that ensures safe and efficient travel for all Contingent members.
Key Responsibilities
Manage all transport requirements for the Contingent, including international flights, ground transport, and other necessary arrangements
Consider independent travel needs for IST participants and ensure appropriate planning is in place
Track and manage transport data to enable the creation and sharing of accurate itineraries
Identify and support Travel Coordinators at each airport hub, equipping them with the tools and information needed for successful delivery
Understand cultural and geographic differences between Australia and the host country, and plan to minimise potential impacts
Create a detailed transport section in the Contingent master plan, including key movements, events, and timelines
Work with the Health and Wellbeing team to support participants with additional requirements
Be available during the Jamboree to coordinate unplanned or emergency transport for members as required
Coordinate day-off transport for adult members, enabling them to explore local attractions
Support the development of an Australian-based remote support team in collaboration with the International Commissioner
Prepare and manage the transport budget, ensuring value and efficiency
Attend regular Logistics Team and CMT meetings
Complete any other tasks as reasonably required by the Head of Logistics

Who We’re Looking For
We’re seeking someone who:
Is ready to commit significant time and energy to the role and deliver on key responsibilities
Has experience working independently and within multi-disciplinary teams
Has strong communication and interpersonal skills
Can manage tasks, schedules, and deadlines alongside other commitments
Works well with others and enjoys solving problems in a team environment
Can adapt to changing circumstances and make confident decisions under pressure
Is a current member of Scouts Australia and will maintain this membership throughout their tenure
Holds and maintains a valid Working with Children/Vulnerable Persons Check and National Police Check, and agrees to any additional checks required
Completes and maintains all mandatory Scouts Australia training
Upholds the team charter, and adheres to the Adult Code of Ethics and Code of Conduct
Desirable Skills and Experience
Experience at a previous World or Australian Jamboree
Strong understanding of the Scouts Australia program
Strong communication and stakeholder engagement skills
Proficiency in Microsoft Office 365, online registration platforms, and spreadsheet management
Familiarity with budgeting processes
Time Commitment
This role requires a commitment of approximately 4 hours per week during the planning phase, increasing closer to the event.
You will be required to attend pre-event camps across various states. Transport and accommodation will be provided.
This is a volunteer position, with a six-month probationary period to assess suitability.
